1. Who we are
Ehize Odukoya, operating as LOJ Legal Services is a Licensed Paralegal practice in London, Ontario. Ehize Odukoya is a Licensed Paralegal, licensed by the Law Society of Ontario (Law Society number P20196). We are responsible for the personal information described in this policy, and we handle it in line with the Personal Information Protection and Electronic Documents Act (PIPEDA).

2. What this policy covers
This policy covers personal information we collect through this website, through the enquiry form, through online booking, and when you first contact us by phone or email about a possible matter.
If we go on to act for you, the information in your file is also protected by our duty of confidentiality under the Law Society of Ontario’s Paralegal Rules of Conduct, and our written retainer agreement explains how your file is handled and kept.
3. What we collect, and why

We also record that an enquiry was sent, a booking button was clicked, a booking was made or the intake form was opened, so we can tell whether the website is working. Those records say nothing about you or your matter.
We only collect what we need for these purposes, and we will not use your information for anything else without asking you first, unless the law requires or permits it. We do not send newsletters or marketing emails.
4. Your consent
Giving us information through this website is voluntary. By sending the enquiry form or making a booking, you agree to us using your information as this policy describes. You can withdraw that consent at any time by contacting us, though if you do we may not be able to help with your matter.
Please do not send confidential details through the website before we have confirmed that we can act for you. Before we can take on a matter we have to check that doing so would not create a conflict of interest with another client. A short outline of your situation is enough for us to do that.
5. Cookies
This website does not set any cookies of its own, and our analytics does not use cookies. Two features load services from other companies, and those services can set their own cookies:

You can block or delete cookies in your browser settings. The website will still work, apart from those two features.
6. Who we share it with
We do not sell, rent or trade personal information, and we do not share it for advertising.
We use a small number of service providers to run the website and the practice. They handle your information on our behalf and only for the purposes in this policy, and we remain responsible for it while they do.

We may also disclose personal information where the law requires it, for example in response to a court order, or where it is needed to protect someone’s safety.
7. Information handled outside Canada
Most of the providers above are based in the United States, and our website developer is in the United Kingdom. While your information is held in another country it is subject to that country’s laws, and may be accessed by its courts, law enforcement and national security authorities. We choose providers that protect information to a standard comparable to Canadian law, and we rely on their contractual commitments to do so.
8. How long we keep it
- Enquiries and bookings from people we do not go on to act for: deleted 12 months after our last contact. We keep a short record of the names of the people involved and the type of matter for longer, so that we can check for conflicts of interest if someone else contacts us about the same situation. That record is kept for as long as the practice operates.
- If we act for you: your file is kept for the period required by the Law Society of Ontario’s record-keeping rules and our retainer agreement.
- Website analytics: contains no personal information, so it is kept as anonymous statistics.
- Technical logs: our hosting and email delivery providers keep short-lived logs, which can include IP addresses and delivery records, for security and troubleshooting. These are deleted on the providers’ own schedules, usually within a few weeks.
When information is no longer needed, we delete it or make it anonymous.
9. How we protect it
We protect personal information with safeguards suited to how sensitive it is. The website is served only over encrypted connections, access to our email and booking accounts is limited to people who need it and protected by password and two-step verification, and our service providers apply their own security controls. No method of sending or storing information is completely secure, which is another reason not to send confidential details before we have confirmed we can act for you.
10. Seeing and correcting your information
You can ask us:
- whether we hold personal information about you, what it is, how it has been used and who it has been shared with
- to correct anything that is inaccurate or incomplete
- to withdraw your consent, or to delete information we no longer need
Send your request to the privacy officer using the details in section 1. We may need to confirm your identity first. We will respond within 30 days and tell you if we need longer and why. There is no charge for a request. If we cannot give you some of the information, for example because it would reveal information about someone else or is protected by privilege, we will tell you why.
11. Questions and complaints
If you have a concern about how we have handled your personal information, please contact our privacy officer first. We will look into it, tell you what we found, and put right anything we got wrong.
If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca or on 1-800-282-1376.
12. If something goes wrong
If a breach of our safeguards involving your personal information creates a real risk of significant harm to you, we will tell you as soon as we can, report it to the Office of the Privacy Commissioner of Canada, and tell anyone else who could help reduce the harm. We keep a record of every breach, whatever its size, for at least 24 months.
13. Changes to this policy
We will update this policy when the way we handle personal information changes, or when the law does. The date at the top shows when it last changed. If a change affects how we use information we already hold, we will tell the people affected.
